What data we collect
- Contact data: full name, phone number, email; when you message us on WhatsApp, the content of your messages and your number.
- Membership data: date of birth, emergency contact, membership type and period, class attendance, payment records (card details are not stored by us; they stay with the payment provider).
- For child members: the parent's name, phone number and consent; the child's name, age and age group.
- Health declaration: your own declaration of whether you have any condition that prevents you from doing sport. This is special-category data; it is collected only with your explicit consent, for the safety of the class.
- CCTV recordings: the indoor and outdoor areas of the gym are monitored by camera for security. There are no cameras in the changing rooms, showers or toilets.
- Website data: usage and traffic data collected through cookies (see "Cookies" below).
Why we process it
- To respond to trial class and membership enquiries, and to schedule classes and assign groups.
- To enter into and perform the membership agreement; payment and invoicing.
- To keep classes safe: health declaration and emergency contact.
- The safety of the gym, its members and staff: CCTV recording.
- Legal obligations: tax law, accounting, requests from competent authorities.
- With your explicit consent: promotional and announcement notifications, sharing photos and video taken in the gym.
- To measure the website's performance and evaluate advertising effectiveness.
Legal bases
Your data is processed on the following legal bases set out in Articles 5 and 6 of the KVKK: the conclusion and performance of a contract (membership), the data controller's legal obligations (tax and accounting), legitimate interest (security cameras, responding to contact requests) and explicit consent (health declaration, marketing notifications, sharing photos and video). You may withdraw your consent to consent-based processing at any time.
Who we share it with
- Gym management software (WodCRM): membership, class attendance and payment records are held on WodCRM's infrastructure, with WodCRM acting as data processor. WodCRM processes the data only on our instructions and within its own privacy policy.
- Payment providers and banks: for card payments.
- Our accountant and competent authorities: for legal obligations.
- Meta (WhatsApp, Instagram, Facebook) and Google: when you message us on WhatsApp, messages pass through Meta's infrastructure; Google Analytics and Google Ads are used for website measurement and advertising (see "Cookies" below).
Beyond these, your data is not sold, rented or shared with third parties for marketing. Some of the service providers we use may have servers abroad; in that case the transfer is made in accordance with Article 9 of the KVKK.
How long we keep it
- Trial class and contact enquiries: 1 year if no membership is taken out.
- Membership and payment records: for the duration of the membership and, after it ends, for the statutory retention period (up to 10 years under tax law).
- Health declaration: for the duration of the membership; deleted when the membership ends.
- CCTV recordings: at most 30 days; deleted automatically unless there is a legal request.
- Cookie data: from the length of the session up to 2 years, depending on the cookie type.
Your rights
Under Article 11 of the KVKK you have the right to: learn whether your personal data is being processed; request information if it has been; learn the purpose of processing and whether the data is used in line with that purpose; know the third parties to whom it has been transferred; request correction if it is incomplete or inaccurate; request its deletion or destruction; request that these actions be notified to the third parties to whom the data has been transferred; object to a result to your detriment arising from analysis by automated systems; and claim compensation if you suffer damage from unlawful processing.

Please include your full name and contact details so that we can verify your identity. Requests are answered within 30 days at the latest. If you are not satisfied with the outcome, you retain the right to lodge a complaint with the Turkish Personal Data Protection Board.
Cookies
f8studio.com.tr uses three types of cookie:
- Essential cookies: the technical cookies the site needs to work. They cannot be switched off.
- Analytics cookies (Google Analytics 4): measure which pages are visited and where visitors come from, anonymously and in aggregate. Visitor identity is processed with the IP address truncated.
- Advertising cookies (Google Ads): conversion cookies to measure visits from our ads and WhatsApp clicks.
You can delete or block cookies in your browser settings; the site keeps working normally when all but the essential cookies are blocked. See Google's privacy policy for how Google uses the data.
Children's data
Data on members under 18 is collected only with the knowledge and consent of a parent or guardian. Photos or video of child members are not shared on any channel without the parent's separate written consent.
Changes
This notice is updated when necessary; the current version is always published on this page and the date at the top changes. We will inform our members separately of any significant changes.
